Admissions

At Little Marvels Nursery Services, our admissions policy is intended to be clear, comprehensive and fair. We welcome children and staff from all ethnic origins, religious backgrounds, gender and people who may have special needs. We do, however, reserve the right to refuse entry or placement if we believe this will be detrimental to the care and wellbeing of your child, or the children in our care.

We have a registration system, which operates on a first come, first served basis. Although we may give priority to this, it may also be necessary to place a child in need ahead of the waiting list if necessary. However, any child on our waiting list; we do endeavour to place all children as soon as possible.

We aim to work with all our families, to ensure we embrace the best way to meet their childcare needs. To help us do this, we will ask you to complete pre-admission documents such as a care plan and ‘All About Me’ form, for your child, which identifies needs, likes, dislikes and a range of information designed to help us settle your child into nursery life. All information supplied by parents and carers, is treated in the strictest confidence.

Fees and Payments

We try to keep the fees simple, which is why we have adopted an “all-inclusive approach”. We understand that parents and carers are very busy and consequently there is no need to remember to pack meals or drinks, as the only items you are asked to provide, are waterproofs, nappies, wipes and a change of clothes in their bags. We also provide vegetarian, vegan, and a range of free from foods for any intolerances, preferences or allergies

Funding: please remember that there are many sources of financial assistance with nursery fees such as free places for 9 month, 2, 3 and 4 year olds, tax free childcare, student funding, special needs assistance and tax credits. Please see the Childcare Choices website for more information.

Sessions are – full days 8.00 am to 6.00 pm, morning sessions are 8.00am to 1.00 pm and afternoon sessions from 1.00pm – 6.00pm. Please call us directly to discuss any queries you may have, including with regard to the Early Years Free Entitlement for children aged 9 month, 2, 3 and 4 years. We can also assist with the arrangements of funding, for children with special needs in association with the London Borough of Hillingdon, and other early years agencies.

Included in our Fees

Our ‘all-inclusive’ approach means that there is nothing more to pay for your child, beyond the fees which are set for you. In fact, almost everything your child needs at nursery is covered however, if you would like to provide anything specific then please let us know. Here is what we provide at no extra cost:

  • Breakfast – toast, porridge, cereal and fruit.
  • Morning snack – fruit, breadsticks, crackers, vegetables.
  • Home cooked lunch – four week rotating menu freshly prepared in our kitchens.
  • Home cooked tea – on the same rotating menu basis as lunch
  • Vegetarian, vegan, and a range of free from foods – for any food intolerances, preferences or allergies
  • Afternoon snack – for those staying until 6.00 p.m.
  • Weaning menu for babies – specially devised for our very youngest children
  • Early Years Foundation Stage Teaching – our staff are fully qualified to teach, support and promote learning and development in the EYFS

Fee Payment Arrangements

Our fees are payable monthly in advance by direct debit, tax-free childcare, bank transfer or nursery vouchers on or before the 1st of each month. In exceptional circumstances, we can accommodate other forms of payment, to be discussed with the Nursery Manager upon booking.

Our fees apply to standard hours of 8:00am to 6.00pm for a full day; morning sessions are from 8:00 a.m. to 1:00 pm or 1.00pm. to 6:00pm, for an afternoon session. 

Your weekly fees will be converted to a calendar monthly amount and will be discounted to reflect the fact that the nursery is closed for bank holidays and the period between Christmas and New Year.

If you are paying by vouchers, then please let us know the company you are using and ensure that your child’s name is used as the reference when the payment is made. If the voucher does not cover the entire fee, then any balance can be collected by standing order. Please remember that both parents/carers are entitled to redeem the voucher. Please also be aware however, that since October 2018, vouchers are being phased out.

Tax-Free Childcare

Our nurseries can accept payments from this funding system scheme that is replacing workplace vouchers and is available to many more families, including the self-employed. More information can be found here: 

In order to book a place at our nurseries, please call us for a Booking Form and we will advise you of the fees and a registration/holding deposit. A registration fee is charged in order to reflect the fact that we secured your child’s place. The registration fee will be offset against the last month of your child’s attendance at the nursery and also taking into account any other unpaid fees to that point.

We understand that from time to time changes can occur and we will endeavour to be reasonable given the circumstances. Unfortunately, we are unable to provide refunds for a child’s absence of whatever nature including holidays, sickness, bad weather and regrettably for COVID isolation. Prolonged closure due to a pandemic or similar event will be assessed at the time. Exceptional circumstances relating to absence can be discussed with the Nursery Manager.

  • Fees are reviewed annually and 8 weeks’ minimum notice will be provided before any changes are made.
  • Extra sessions can either be paid for on the day or collected with the following month’s invoice. BACS transfer payments are accepted for extras payments. Extras are for additional sessions or additional hours and subject to availability.
  • Discounts are also available for full time bookings and to employees of The Rosedale Hewens Academy Trust, and Little Marvels Nursery Services (subject to a minimum booking of 3 full days or 5 half day sessions).
  • The maximum discount provided under all circumstances is 5%.

Forms of Payment and Funding Sources

Our fees are paid monthly in advance before the 1st of each month and we can provide invoices and statements as needed. We issue fees monthly by taking the weekly amount and multiplying by 50 weeks of the year then dividing by 12. This means we do not charge for Christmas closure.

The nursery accepts either direct debit or childcare vouchers in settlement of fees, as well as payment from funding sources. We can also accept cheques, credit/debit cards or BACS. 

FREE - Early Years Entitlement (EYFE) for 2, 3 and 4 year olds)

All three and four year olds are entitled to 15 hours of free early education for 38 weeks of the year. This applies until they reach compulsory school age (the term following their fifth birthday). The early education can take place in nurseries, playgroups, pre-schools or at their childminders. Some two-year-old children may also be eligible for a free place subject to local authority means and status testing.  Funding is generally linked to household income and you can find out more here.

In 2017 the Government increased the funding for 3 and 4 year olds to 30 hours per week for 38 weeks of the year. Please see Childcare Choices for more information.

Standing Order

Very simply, fee collection is to set up a standing order with your bank service which collects payments from parents’ accounts at the same time every month, usually the 1st or 2nd. Parents will be notified at least 7 days beforehand by letter or email as to how much will be taken from their account. 

Workplace Vouchers

Workplace vouchers are a Government-approved, tax-efficient way of paying for childcare. If you join the scheme, you can currently exchange up to £243 a month (£55 a week) of your gross salary for childcare vouchers.

Childcare Vouchers work through a salary sacrifice scheme which means parents swap part of their salary, to contribute towards their childcare costs. The part of your gross salary you exchange for childcare vouchers is tax-free and exempt from National Insurance contributions (NI). Because of this, you can currently make savings of up to £933 per parent, per year.

Most working parents are eligible for childcare vouchers provided they are offered through their place of work. However, there may be some instances where parents are not, or where vouchers may affect entitlement to other benefits. If you are self-employed you are not currently eligible for tax free vouchers, although this was due to change in September 2017 when the government is introducing a new childcare scheme, see below. Tax Free Childcare Scheme

Under the scheme, eligible families will get 20% of their annual childcare costs paid for by the Government. The way it works is that for every 80p you pay into a newly-created Childcare Account, the Government will contribute 20p. This could mean up to £2,000 per child (the scheme assumes a maximum of £10,000 per year childcare costs per child – if you pay more, you won’t get more help).

The scheme is open to single parents/couples who work eight or more hours a week, including self-employed, and who pay for Ofsted-registered childcare for a child under the age of 12, or under 17 if the child is disabled. It will also be open to all qualifying parents, unlike childcare vouchers which can only be bought by people whose employer offers the scheme. Enrolment into this new scheme has yet to be announced.
